Frequently Asked Questions

Answers about warehouse labels

What types of warehouse labels do you offer?

We offer rack labels, shelf labels, pallet labels, location labels, floor labels, and inventory labels. Available in thermal and thermal transfer variants with various durability options.

Are the labels compatible with WMS systems?

Yes, our warehouse labels work with all major WMS systems. We print barcodes (Code 128, Code 39) and 2D codes (QR, DataMatrix) according to your specifications.

How durable are the warehouse labels?

Durability depends on the material. We offer labels lasting from 1 year (standard paper) to 10+ years (polyester). We help choose the right material for your conditions.

Can you print custom barcodes?

Yes, we print any barcode format including Code 128, Code 39, EAN, UPC, QR codes, DataMatrix. Sequential numbering and variable data printing available.

Do you offer cold storage labels?

Yes, we have special adhesive labels for cold storage (-40°C to -18°C) and freezer applications. These require special materials and adhesives.

What is the minimum order quantity?

Minimum order depends on the product type. For standard warehouse labels, minimum is typically 1000 pieces. Contact us for specific requirements.

Warehouse Labels – WMS Integration and Best Practices

Rack labels, pallet labels, location labels for modern warehouse operations

Rack and Location Labels – Built to Last

Warehouse rack labels are read thousands of times per year and must remain fully scannable for 5-10 years without replacement. The professional standard is thermal transfer print on PP film with resin ribbon and permanent acrylic adhesive. We add a protective laminate for high-traffic locations (pick faces, storage aisles subject to forklift passage). Typical sizes: 80×40 mm (individual pick locations and shelf slots), 100×60 mm (rack uprights and bulk storage), 150×100 mm (aisle markers and zone identifiers), 300×100 mm (overhead banners for drive-by visibility). Multi-level labels combine zone, aisle, rack, level, and slot in a single barcode label - speeding up put-away operations and reducing picker errors.

Pallet Labels – GS1-128 and VDA 4902 Standards

For pallet identification, use the internationally recognized standards. GS1-128 (formerly EAN-128) is the standard for retail and logistics - includes SSCC (Serial Shipping Container Code), GTIN, batch number, production date, expiry date, and quantity in a single barcode. The label size is A5 (148×210 mm) with the barcode zone at the top, human-readable text below, and optional company branding. VDA 4902 is mandatory for automotive supply to Volkswagen, BMW, Mercedes-Benz, Stellantis, and other German/European OEMs - includes parts number, quantity, supplier ID, delivery note, and batch. VDA labels are 210×148 mm with standardized fields and color coding (blue for production, yellow for quality hold, red for defects). We also support ODETTE standard for automotive-adjacent industries and HIBC for healthcare.

Barcode Symbology Selection

Choose the right barcode symbology based on capacity and scanning requirements. Code 128 is the workhorse of warehouses - ubiquitous support, high data density, alphanumeric characters, variable length. Use for location IDs, SKUs, batch numbers. Code 39 is older but still widely used - alphanumeric only, lower data density. Useful for short codes (4-8 characters) on small labels. Data Matrix (2D) encodes up to 2,000 characters in a compact square - ideal for direct part marking (DPM), small pharmaceutical vials, and electronic components. Can be scanned from any angle. QR Code (2D) is consumer-friendly and supports smartphones - growing in asset tracking and mobile inventory apps. PDF417 (stacked 2D) encodes large amounts of data - used in some shipping and ID applications but less common in pure warehouse operations.

Environmental Resistance for Different Warehouse Zones

Match label specifications to the environment. Dry, ambient warehouse (10-25°C, 30-70% humidity): standard PP film with WAX/RESIN ribbon, adhesive PE80 - 5-7 years lifespan. Refrigerated storage (0-8°C): PP film with deep-freeze adhesive, resin ribbon, laminate - 5-10 years lifespan. Freezer (-18 to -30°C): PP film with deep-freeze adhesive rated to -40°C, resin ribbon (wax ribbons fail in cold) - 3-5 years lifespan; applied to warm surfaces before freezing when possible. High humidity / wet zones (food processing, fish plants): PP film with moisture-resistant adhesive, laminate protection - prevents edge lift and label delamination. Chemical-exposed zones: PET film with resin ribbon and chemical-resistant laminate - for warehouses storing solvents, acids, or fuels. Each material combination is tested and certified for its intended environment.

Implementation and Deployment Services

For new warehouse setups or WMS migrations, we offer complete labeling project management: location audit and mapping, barcode numbering scheme design (aisle-rack-level-position convention), production of all labels with correct sequencing and orientation, packaging labels in zone-specific batches matching installation plan, on-site application service for large installations (available for EU destinations), training of warehouse staff on label handling and replacement procedures. For WMS integrations, we coordinate with your software vendor (SAP WM/EWM, Manhattan SCALE, Infor WMS, HighJump, BaseLinker, Mecalux, SSI Schaefer) to ensure label printing conventions match system expectations. Typical project timeline for a 10,000 m² warehouse: 2-4 weeks design, 1-2 weeks production, 1-3 days installation.

Termedia warehouse labels serve 3PL providers, manufacturing plants, distribution centers, and e-commerce fulfillment operations across the EU. Request project consultation and free samples.
